CITY OF SENECA
PART TIME ADMINISTRATIVE ASSISTANT
RECREATION (GIGNILLIAT WELLNESS CENTER)
TEMPORARY POSITION



GENERAL PURPOSE

Provides general office administration and support to Seneca Wellness Program and Gignilliat Gym. Reports to the Recreation Director.


ESSENTIAL SAFETY FUNCTIONS

It is the responsibility of each employee to comply with established policies, procedures and safe work practices. Each employee must follow safety training and instructions provided by their supervisor. Each employee must also properly wear and maintain all personal protective equipment required for their job. Finally, each employee must immediately report any unsafe work practices or unsafe conditions as well as any on-the-job injuries or illnesses.


ESSENTIAL DUTIES AND RESPONSIBILITIES

Serves as caretaker / observer for the Gignilliat Gym.
 Answers incoming call.
 Reports any malfunctioning exercise machinery to appropriate persons.
 Receives the authorized personnel and answers questions; responds to inquiries from employees, and others and refers, when necessary, to appropriate persons.

Assists with public relations for the gym.
 Prepares flyers, handouts, and brochures to advertise department services.
 Advertises for functions and activities.

Performs general bookkeeping work for the department.
 Assists in the procurement of department materials and supplies.
 Maintains inventories and informs appropriate persons of Gignilliat Wellness Center needs.

Assists with the Gignilliat Wellness building access.
 Answers questions, and addresses suggestions and complaints.
 Ensures all paperwork and waivers are correctly sign and filed.
 Forward necessary information to authorized users of the Gignilliat Wellness Center.
 Adds and updates information in the computer.

Assist with scheduling the use of rooms.
 Ensures the building is staffed when needed.

Operates listed office machines as required.
Composes, types, and edits a variety of correspondence, reports, memoranda, and other material requiring judgment as to content, accuracy, and completeness.
Acts as custodian of departmental documents and records. Establishes and maintains filing systems, control records and indexes using moderate independent judgment.
Schedules appointments, and performs other administrative and clerical duties.
Makes copies of correspondence or other printed matter, using copying machine.
May prepare outgoing mail, using postage-metering machine.
May produce and distribute brochures and other publicity for programs.


PERIPHERAL DUTIES

Reads and routes incoming mail.
Files correspondence and other records.


DESIRED MINIMUM QUALIFICATIONS

Education and Experience:
(A) High School diploma or equivalent.
Necessary Knowledge, Skills and Abilities:
Working knowledge of computers and electronic data processing.
 Working knowledge of modern office practices and procedures.
 Skill in operation of listed tools and equipment.
 Working knowledge of exercise equipment and physical training.
 Ability to effectively meet and deal with the public.
 Ability to communicate effectively verbally and in writing.
 Ability to handle stressful situations.


TOOLS AND EQUIPMENT USED

Phone; personal computer including word processing software; copy machine; postage machine; fax machine; base radio; calculator; typewriter, tape recorder, charts, diagrams, entry books, file cabinets, pens, pencils, forms, maps, programs, schedules, contracts, directives, documents, manuals, publications, specifications, adding machine.


PHYSICAL DEMANDS AND WORK ENVIRONMENT

 The employee is frequently required to sit and talk or hear.
 The employee is occasionally required to use hands to finger, handle, or feel objects, tools, or controls; and reach with hands and arms.
 The employee must occasionally lift and/or move up to 10 pounds.
 Specific vision abilities required by this job include close vision and the ability to adjust focus.
 The noise level in the work environment is usually moderate.
